For distributors & manufacturers

Purchase orders in by email, PDF or fax. EDI out, with no retyping.

SmartOrder reads the purchase orders your customers send however they send them, pulls out every line item, and produces a clean EDI document your order system can take straight in. We built it, we run it, and you can watch it work right here.

Two-minute demo

SmartOrder intake

A purchase order goes in as an email, a PDF and a fax. An EDI 850 comes out.

The problem

Sound familiar?

The orders are coming in. The trouble is how.

Every customer sends orders their own way

One emails a PDF, one still faxes, one types the order into the body of a message. Someone on your team re-keys each one into the system, line by line.

Re-keying is slow, and it is where the mistakes live

A transposed part number or a missed quantity becomes a short shipment, a credit and a phone call. The cost shows up weeks later as a return.

Your big customers send EDI. Your small ones never will

The system can take an EDI 850 all day long. The orders that cost the most time are the ones that never arrive that way.

What SmartOrder does

From whatever arrives to an EDI 850, automatically

SmartOrder watches an inbox or a folder. When a purchase order arrives as an email, a PDF attachment or a scanned fax image, it reads the document the way a person would: who the customer is, their PO number, the ship-to, and every line with its part number, description, quantity and price.

It then writes the order out as a standard EDI document, an 850, in the format your order system already accepts. The order lands in your system the same way an EDI order from your largest customer does.

  • Email, PDF or scanned fax, no retyping
  • Line items, quantities and part numbers parsed automatically
  • Ready-to-send EDI output
  • Tuned to your customers' documents during the pilot, not a one-size template

Honest scope: SmartOrder is built for purchase orders. Invoices, bills of lading, quotes and other document types are custom work. The same approach applies, and the free meeting is where we would tell you what it takes.

Next step

How it starts

Three steps, none of them a commitment. The five-step ladder with prices is on the homepage, and the two-minute AI readiness check is a good place to start.

  1. Send us ten real purchase orders

A mix of your messiest customers' PDFs, faxes and emails, plus your EDI spec or a sample 850 your system accepts.

  2. Watch them go through

In the free meeting you see your own orders go in and EDI come out, and we tell you plainly what would need tuning.

  3. A fixed-price pilot, then we run it

The pilot connects SmartOrder to your inbox and your order system. After that, run & train keeps it monitored and your team trained.

Questions

Questions distributors ask us

We don't do EDI today. Can SmartOrder still help?

Yes. EDI is just a clean, structured way to hand an order to your system. If your system imports orders another way, such as a CSV file, an API or a form, the same parsed order can be written out in that format instead. That is a scoping question for the free meeting.

How does it do on faint or handwritten faxes?

Typed PDFs and clean scans are where it shines. Faint or handwritten faxes are harder for any system, including people. During the pilot we test it on your real documents and set it up so an order it is not confident about goes to a person rather than being guessed.

Does our customer data leave our systems?

An AI model reads each document, and we configure where that runs and what is kept. For most distributors a hosted setup is fine; if you have contractual limits we build within them. We walk you through exactly where the data goes before anything is switched on.

What does it cost?

The pilot is a fixed-price build from $4,500, and run & train is from $450 a month. The free meeting comes first, and when a two-week assessment is needed its fee ($1,500) is credited toward the pilot.
